Sharing the portal link
Once an Estimate has been prepared, the workshop can give the customer access to the Customer Portal directly from the Job Card.
Click Share Estimate with Customer and then Generate Link. Wemotics creates a unique Customer Portal link that can be shared with the customer via WhatsApp or Email.
What is the Customer Portal?
EVERYTHING THE CUSTOMER NEEDS IN ONE PLACE
The Customer Portal is a customer-facing view of the repair that can be opened through the shared link on a mobile phone, computer, or other device.
It gives the customer one place to follow their vehicle repair and interact with the workshop without needing access to the main Wemotics system.
Through the Customer Portal, the customer can
- View their vehicle and repair information
- Review and approve proposed services and parts
- Communicate directly with the workshop
- View and download Estimates and Invoices
- Book another workshop appointment
- Review their service history
The information shown in the Customer Portal is connected to the same Job Card used by the workshop, so the customer and workshop work with the same repair information.
Customer Portal — Overview
Repair summary at a glance
After opening the Customer Portal, the customer lands on the Overview tab.
The Overview provides a summary of the current repair and the information recorded by the workshop. Here, the customer can see:
- Current job status and progress
- Vehicle photos
- Vehicle make, model, year and license plate
- VIN, engine, engine code and horsepower
- Customer information
- Problem Description
- Basic Job Details
This gives the customer an immediate overview of the vehicle and the repair information recorded by the workshop.
Customer Portal — Estimate
Reviewing and approving the repair proposal
From the Estimate tab in the Customer Portal, the customer can review the repair proposal prepared by the workshop.
The Estimate displays the proposed services and parts together with their prices and the total estimated repair cost.
Depending on the workshop's process, the customer can Approve or Decline individual services. If applicable, the customer can also indicate that they will provide a particular part themselves.
Alternatively, the customer can select Approve All to approve the complete Estimate at once.
Customer approvals are reflected back in the Job Card, giving the workshop a clear record of which work has been authorized before proceeding with the repair.
Customer Portal — Messages
Talking directly to the workshop
The Messages tab in the Customer Portal provides a direct communication channel between the customer and the workshop.
The customer can send questions or messages about the Estimate, repair progress, additional work, or any other repair-related matter directly from the portal.
The workshop can also use Messages to keep the customer informed throughout the repair. For example, after inspecting the vehicle, the workshop can send photos, additional findings, or information about newly discovered issues directly to the customer.
If the inspection reveals that additional work or parts are required, the workshop can update the Estimate accordingly. The customer can then review the newly added items in the Customer Portal and approve or decline them before the additional work is carried out.
When the customer sends a message, the workshop receives a notification in the Notifications area in the top navigation bar of the main Wemotics interface. Workshop staff can then open the notification and respond to the customer's message.
Customer Portal — Documents
Estimates and invoices for the customer
The Documents tab in the Customer Portal contains documents made available to the customer for the current repair.
Here, the customer can access generated Estimates and Invoices, open them for review, or download them to their device.
Customer Portal — Appointment
Scheduling the workshop visit
When an Estimate is prepared before the vehicle has been brought to the workshop, the customer can use the Appointment tab in the Customer Portal to schedule their visit.
The customer can view the workshop's available dates and select a suitable appointment for bringing the vehicle in.
This allows the process to move naturally from a remote enquiry and initial Estimate to a confirmed workshop visit, without requiring the customer to contact the workshop separately to arrange an appointment.
Customer Portal — Service History
Previous visits and repairs
The Service History tab in the Customer Portal allows the customer to review their previous visits and repairs completed at the same workshop.
This provides an accessible record of the customer's previous service history with the workshop.
