Employees Management
The Employees Management section allows you to create and manage profiles for everyone working at your company. Here you can configure employee contact details, compensation, work schedules, active status, and assigned tools.
Employee profiles are used when planning work, assigning jobs, and calculating compensation.
Employees and administrators
Use Employees Management to create profiles for employees who will be assigned jobs, work schedules, compensation settings, or tools in the system.
You can manage the people responsible for administering the system separately under Admin Management. Employee and administrator accounts are independent, so you can invite a new administrator without first creating an employee profile for them in Employees Management.
Employee list
The main page shows all active employees and their key information:
- Name – the employee’s name or the name used to identify them in the system.
- Email – the employee’s email address.
- Compensation – the selected compensation type and amount.
- Active – indicates whether the employee is currently available for job assignments.
- Actions – options for editing the employee, resetting their password, or removing their profile.
Use the switch in the Active column to change an employee’s status. Inactive employees no longer appear when assigning jobs, but their profiles remain stored in the system.
To view inactive employees, click Show inactive.
Adding an employee
To create an employee profile:
- 1Click Add Employee.
- 2Enter the employee’s name and email address.
- 3Add a phone number if required.
- 4Select a compensation type and enter the appropriate amount.
- 5Set the employee’s workdays and daily working hours.
- 6Choose whether the employee should be active.
- 7Choose whether to send a registration invitation immediately.
- 8Click Add Employee.
Fields marked with an asterisk are required.
Employee details
When creating or editing an employee, you can enter:
- Name – the employee’s full name or another name used to identify them in the system.
- Email – the address used to receive the registration invitation and other account-related messages.
- Phone – the employee’s contact phone number.
Compensation type
Each employee can have one of two compensation types.
Commission
With Commission, the employee earns a specified percentage of the value of the jobs they complete.
Enter the applicable percentage in the Commission Percentage field.
Fixed salary
With Fixed Salary, the employee receives a fixed monthly salary regardless of the number or value of jobs completed.
Enter the agreed gross monthly amount in the Monthly Salary field.
Work schedule
Use the Work Schedule section to define the employee’s regular working hours.
Workdays
Select the days of the week on which the employee normally works. The selected days are used when planning jobs and evaluating the employee’s availability in the calendar.
Daily hours
Specify the number of billable hours the employee works on each selected workday.
This information helps you plan workloads more accurately and understand employee availability.
Employee status
Enable Active if the employee currently works for the company and should be available for job assignments.
When this option is disabled, the employee’s profile remains in the system, but the employee no longer appears in job assignment lists.
This is useful when an employee is temporarily unavailable or has left the company, but you want to retain their information.
Registration invitation
Enable Send invitation email if you want the employee to receive a registration link immediately after their profile is created.
The employee can use this link to complete their account registration and create a password.
If you do not want to send the invitation immediately, disable this option. You can send the employee a login or password setup link later.
Editing an employee
To update an employee’s information, click the pencil icon next to their name.
You can update
- the employee’s name;
- email address;
- phone number;
- compensation type and amount;
- workdays;
- daily working hours;
- active status;
- assigned tools.
After making your changes, click Update.
Assigned tools
When editing an employee, the Assigned Tools section shows which company tools are currently assigned to them.
- 1Click Add tool.
- 2Select the required tool.
- 3Save the changes to the employee’s profile.
Assigned tools help you track which equipment has been issued to each employee. If no tools have been assigned, an appropriate message will appear in this section.
Resetting a password
To help an employee reset their login password, click the key icon next to their name.
The window displays the employee’s name and email address. Click Send password reset email to send the employee a password reset link by email.
The password reset link remains valid for 24 hours.
Removing an employee
To remove an employee profile, click the trash icon next to their name and confirm the action.
If the employee is only temporarily unavailable, or you want to retain their information and previous job history, mark the employee as inactive instead of removing their profile.
