Works & Parts
The Works & Parts tab is used to prepare the repair estimate by adding the expected repair services, labour time, required parts, and pricing.
Wemotics provides two ways to prepare the estimate:
- Manually — add repair services and required parts yourself.
- With AI assistance — let Wemotics analyse the vehicle and reported problem and suggest the required services, labour time, and parts.
Both methods create the same Works & Parts entries and can be combined. AI-generated suggestions can be reviewed and adjusted manually before they are submitted to the customer.
Add Services & Parts Manually
Add a repair service
To add a repair service manually, open the Works & Parts tab and click Add Service.
Enter the Work Description and the estimated Hours required to complete the work.
The Price/Hour is automatically filled using the workshop's default hourly rate configured under Settings → Garage Settings → Rate per hour. The rate can still be adjusted for an individual service when required.
The system automatically calculates the service price based on the estimated labour time, hourly rate, VAT, and any applied discount.
An employee does not need to be assigned at this stage. When preparing an estimate, the purpose is to define the expected work and calculate its price for the customer. The technician can be assigned later when the repair is scheduled or ready to be performed.
Click Save Work to add the service to the estimate.
Add Parts to a Service
Add the parts required for the repair
Once a service has been added, click Add Part underneath that service to add the parts or materials required to perform the work.
Start typing the part name or part code in the Part Name field. Wemotics automatically searches your Inventory and displays matching items that are already available in the system.
If a matching item is found, select it from the search results. The existing part information is used, making it easy to include parts already registered in your workshop inventory in the estimate.
If the required part is not found in Inventory, you can enter it manually.
If you know the part name but do not know its OEM code, enter the name and click Get Code. Wemotics uses AI together with the vehicle information to help identify the appropriate OEM (Original Equipment Manufacturer) code.
The generated OEM code can then be used to search supplier catalogues, identify a compatible replacement part, and confirm the purchase price before adding the part to the customer estimate.
Complete the required information, including the quantity, purchase cost, and customer selling price. Supplier information can also be selected when known.
Click
- Save Part to save the part and return to Works & Parts.
- Save & add another to save the current part and immediately add another part to the same repair service.
Unassigned Parts
Add parts that are not linked to a specific service
Not every item included in an estimate needs to belong to a particular repair service.
The Unassigned Parts section allows you to add parts, materials, or other items to the customer estimate without linking them to a specific service.
Click Add Part under Unassigned Parts and enter the part and pricing information in the same way as for a service-related part.
This is useful when an item is required for the overall repair but does not logically belong to one individual service.
Estimate Summary
Understand the estimate totals
At the bottom of the Works & Parts tab, Wemotics continuously updates the estimate totals as services and parts are added.
The summary includes
- Parts — the total selling price of all parts included in the estimate.
- Labor — the total customer price of all repair services, calculated from the estimated labour time and hourly rates.
- Profit — the expected profit generated from parts, calculated from the difference between their selling and purchase costs.
Labour is shown separately rather than included in the Profit figure. This makes it easier to see how much of the estimate comes from labour, how much comes from parts, and what additional margin is generated from selling those parts.
The Grand Total shows the complete amount of the current estimate.
Copy Parts List
Quickly prepare a supplier order
Click Copy Parts List to copy all parts currently included in the Job Card to the clipboard.
For each part, the copied information includes the full part name, part code, and required quantity.
The copied list can then be pasted into an email, supplier ordering system, WhatsApp message, or another communication channel when requesting prices or placing an order.
Submit the Estimate for Customer Approval
Send the proposed repair for approval
Once the required services, parts, and prices have been added, click Submit for Approval.
The selected repair items become available to the customer through the Customer Portal, where the customer can review the proposed work and approve the estimate.
The approval status of individual services and parts is displayed directly in Works & Parts, allowing the workshop to see which items are still awaiting customer approval.
For more information about customer approvals, see Customer Portal.
Generate an Estimate Document
Create a PDF estimate
The same estimate can also be managed from the Job Card's Documents tab.
Open Documents → Estimates to generate an estimate document based on the services and parts added in Works & Parts.
A PDF version of the estimate is generated and stored with the Job Card. From there, the workshop can
- Download the estimate as a PDF.
- Send it to the customer by email.
- Send it to the customer through WhatsApp directly from Wemotics.
This provides a printable and shareable document in addition to the interactive estimate available through the Customer Portal.
AI Repair Suggestions
Generate Works & Parts with AI
For a faster way to prepare an estimate, Wemotics can generate the initial repair scope using AI.
When creating a New Job, the customer's reported issue is entered in the Problem Description field. After the Job Card is created, this description can be updated or expanded as additional information becomes available.
The more specific the problem description is, the more context the AI has when preparing its suggestions.
Open Works & Parts and click Suggest works & parts.
AI Vehicle Analysis
Analyse the vehicle and reported problem
After Suggest works & parts is selected, Wemotics analyses the available vehicle information together with the Problem Description.
The system first checks the vehicle and determines whether any suggested parts depend on a particular vehicle or engine variant.
Based on the available information, AI prepares a proposed repair scope containing
- Repair services
- Estimated labour time for each service
- Required parts and materials
- Required quantities
The generated list is a starting point for the estimate and should be reviewed before being added to the Job Card.
Review AI Suggestions
Confirm the proposed services and parts
Wemotics displays the generated services together with their estimated labour times and associated parts.
You can review the proposed repair scope before continuing. Services and parts that are not required can be deselected, while names, labour times, quantities, and other available values can be adjusted.
At this stage, prices are not yet included. Pricing can be completed after the selected items have been added to the Job Card.
Find the correct part numbers
After reviewing the AI suggestions, click Fetch OEM codes.
Wemotics searches for OEM codes for the selected parts using the available vehicle information.
OEM codes make it easier to identify compatible replacement parts and search supplier catalogues when checking availability and purchase prices.
Review OEM Results
Check available part matches
During the search, Wemotics processes each selected part and looks for corresponding OEM codes.
When the search is complete, the results are displayed for each part.
Depending on the vehicle and part, Wemotics may
- Find a single OEM code.
- Find multiple possible OEM codes.
- Display matching aftermarket parts for the vehicle.
- Indicate that an OEM code could not be found.
Where multiple alternatives are available, they can be reviewed before continuing.
Once the results have been reviewed, click Add selected items.
The selected services and parts are added to Works & Parts, where they can be priced, edited, removed, or supplemented with additional manually entered services and parts.
Complete Pricing & Supplier Information
Turn AI suggestions into a customer estimate
AI prepares the repair scope, but the workshop remains in control of the final estimate.
After the AI-generated items have been added, review the services and parts in Works & Parts and complete the required pricing.
For a part, open the three-dot menu → Edit to add or update its purchasing and pricing information.
This allows the workshop to use the identified OEM code to check the appropriate supplier, confirm the actual purchase cost, set the customer selling price, and complete the estimate before submitting it for approval.
You can also add additional services or parts manually at any time. AI-generated and manually entered items can therefore be used together within the same estimate.
Once the estimate is complete, use Submit for Approval to make it available to the customer, or generate the PDF estimate from Documents → Estimates.
Continue with purchasing
Once the required parts and supplier information have been added, parts can be tracked through the purchasing process from Required to Ordered, Received, and finally Installed.
See Purchases for the complete purchasing workflow.
