Tracking invoiced amounts, received payments, and outstanding balances

The Payments tab provides an overview of customer payments across workshop Jobs. It helps track how much has been invoiced, how much has already been collected, and which Jobs still have an outstanding balance.

Payments Overview

A quick view of the current payment situation

At the top of the page, the summary cards provide a quick overview of the current payment situation.

  • Total Invoiced — the total value that has been invoiced to customers. The number underneath indicates how many Jobs are included in the total.
  • Collected — the total amount of customer payments that have already been received.
  • Outstanding — the total amount still waiting to be paid by customers. The number underneath indicates how many payments are currently outstanding.
  • Today's Activity — payment activity for the current day, showing payments received today as well as the value invoiced during the day.

Payment Records

Payment information for individual Jobs

The Payment Records table provides payment information for individual Jobs.

Each row contains the following information

  • Vehicle — the vehicle associated with the Job, including the license plate and vehicle model.
  • Invoiced — the total amount invoiced for the Job.
  • Paid — how much of the invoiced amount has already been received.
  • Outstanding — the remaining amount that still needs to be paid. If the full amount has been received, the status is displayed as Paid.
  • Method — the payment method used, for example Cash or Card.
  • Last Paid — the date of the most recent payment recorded for the Job. If no payment has been received yet, no payment date is displayed.

Opening the Job Card

Click the arrow at the end of any row to open the corresponding Job Card.

This allows you to quickly move from the financial overview to the original Job and review its full details.

Payment Views

Outstanding

Shows only Jobs that still have an unpaid balance.

This is particularly useful for checking which customers still owe money and the total amount that remains to be collected.

The counter next to Outstanding shows how many outstanding payment records currently exist.

All

Shows all payment records, including both fully paid and outstanding Jobs. Use this view for a general overview of customer payments.

Log

The Log displays individual payment transactions in chronological order.

Unlike the regular view, which provides a payment overview per Job, the Log can be used to review when individual payment transactions were recorded.

It includes the transaction date and time together with the associated vehicle, invoiced amount, payment information, payment method, and other relevant payment details.

Filter by Period

Limiting records to a time period

Use the period filter to limit the payment records to a particular time period.

Available options include

  • Today
  • This Month
  • Last Month
  • This Quarter
  • Last Quarter
  • All Time
  • Custom Range

The period filter can be combined with the Outstanding, All, and Log views to narrow down the information you need.

Typical Uses

What the Payments section is used for

  • Check how much has been invoiced and collected.
  • See the total amount customers still owe.
  • Find Jobs with outstanding payments.
  • Review the payment method and last payment date.
  • Review individual transactions through the Log.
  • Search for a specific vehicle by license plate.
  • Filter payment activity by a specific period.
  • Open the corresponding Job Card directly from a payment record.
