Financial Reports
Understanding workshop financial performance
The Reports tab in the Finance section provides an overview of the workshop's financial performance for a selected period.
It brings together revenue from parts and labor, customer payments, workshop expenses, and operational figures to provide a clear picture of how the business is performing.
Selecting the Reporting Period
Monthly or custom date ranges
Financial Reports can be viewed using either Monthly or Custom reporting periods.
Monthly
The Monthly view allows you to select a specific month or view All Time data.
All figures in the report are automatically recalculated according to the selected period.
Custom
The Custom option allows you to define your own start and end dates.
This is useful when you need to analyze financial performance for a specific day, week, or any other custom period instead of a complete calendar month.
Revenue Breakdown
Parts and labor performance
The Revenue Breakdown separates revenue and profit generated from Parts and Labor, making it easier to understand where the workshop's earnings are coming from.
Parts
Revenue — shows the total value of parts charged to customers for the selected reporting period.
Supplier Cost — shows the cost of those parts from suppliers.
Profit — shows the difference between the parts revenue and supplier cost, providing the profit generated from parts.
Labor
Revenue — shows the total value of labor charged to customers for the selected reporting period.
Employee Cost — shows the employee compensation associated with the labor performed.
Profit — shows the difference between labor revenue and employee costs, providing the profit generated from labor.
Payments
Customer payment activity
The Payments section summarizes customer invoicing and payment activity.
Invoiced
Shows the total value of invoices created during the selected reporting period.
Collected
Shows the total customer payments received during the selected reporting period.
Outstanding
Shows the value of unpaid customer invoices, providing a quick overview of payments that are still outstanding.
Expenses
Outgoing payments and workshop costs
The Expenses section provides an overview of the main costs associated with running the workshop.
Inventory
Shows the value of stock added to Inventory, excluding VAT.
This represents parts and other inventory items purchased for use or resale through the workshop's Inventory.
Supplier Payments
Shows the total amount paid to suppliers during the selected reporting period.
Garage Expenses
Shows workshop purchases and operating expenses that are not parts purchased for customer repair Jobs.
This can include expenses such as workshop equipment, tools, office supplies, maintenance, utilities, or other purchases required to operate the business.
For example, purchasing a part specifically for a customer's vehicle would normally be related to Inventory or a Job, while purchasing a new piece of equipment for the workshop would be recorded as a Garage Expense.
Adding Garage Expenses
Recording workshop purchases
Garage expenses can be recorded directly from Inventory → Purchases by clicking Add Garage Expense.
This allows the workshop to manually record purchases and operating costs that are not related to parts purchased for customer repair Jobs, such as workshop equipment, tools, office supplies, maintenance, or other general business expenses.
Once added, the expense is included in the Purchases records and reflected in the workshop's financial reporting.
Operational Summary
Context for the financial figures
At the bottom of the report, several additional indicators provide context for the financial figures shown above.
Active Jobs
Shows the number of Jobs that are currently in progress.
Qualifying Jobs
Shows the Jobs included when calculating the financial performance for the selected period.
Qualifying Jobs = Active Jobs + Jobs completed during the selected period.
These Jobs are used as the basis for the revenue calculations displayed in the report.
Work Value
Shows the combined parts and labor value from all Qualifying Jobs.
It represents the total value of work associated with the Jobs included in the selected reporting period.
Employee Costs
Shows the total compensation owed to employees, including commissions calculated from labor as well as fixed monthly salaries.
This provides an overview of the workshop's employee-related labor costs for the reporting period.
