Keeping customer information and service history in one place.
Customers Overview
The Customers section works as the workshop's CRM, providing one central place to store and manage customer information and keep a continuous history of the customer's relationship with the workshop.
Customer records are created automatically as part of the normal workshop workflow. When a new Job Card is created and the customer's details are entered, that customer is automatically added to the Customers section.
This means the customer's information only needs to be entered once. The next time the same customer returns, their existing record can be used instead of creating the customer again.
Note
Customers can also be added independently, without creating a Job Card, using the Add Customer button.
Customer List
The main Customers table provides an overview of all customers stored in the CRM.
Customer
Shows the customer or company name and the date when the customer was first added to the system.
Contact
Shows the customer's available contact information, including:
- Email address
- Phone number
These details can be used throughout Wemotics when communicating with the customer and working with their Jobs, Estimates, Invoices, and other records.
Code / VAT
Shows available business identification information, such as the Company Code / Registration Number or VAT Number.
This is particularly useful for business and corporate customers whose company details are required for invoicing.
Location
Shows the customer's recorded location, such as city and country.
Tags
Shows tags assigned to the customer.
Tags can be created and named by the workshop, allowing you to categorize customers using your own labels based on your workflow and needs.
For example, you can create tags such as VIP, Payment Risk, Offer Coffee, or any other custom tag that is useful for your workshop.
Source
Shows the acquisition channel – how the customer originally found or came to the workshop.
For example, the source may be Google / Search, Social Media, Referral, Walk-in, Insurance, Fleet / Corporate, or another acquisition channel.
This information can help the workshop understand where its customers are coming from.
Searching and Filtering Customers
Search
The Filter field provides a quick way to find an existing customer without manually browsing through the customer list.
The search checks information across four main areas:
- Customer – customer or company name
- Contact – email address or phone number
- Code / VAT – company code, registration number, or VAT number
- Location – customer location information
This makes it possible to find a customer using whichever piece of information is currently available.
Filter by Tags
The Tags filter allows the customer list to be narrowed down according to tags assigned to customer records.
For example, selecting VIP displays customers with the VIP tag, while Payment Risk can be used to quickly identify customers requiring additional attention regarding payments.
Multiple tags can be used to organize the customer database according to the workshop's own workflow. Active filters can be removed to return to the complete customer list.
Customer Profile
A complete view of an individual customer. Clicking a customer opens their Customer Profile, which brings together the customer's stored information, previous and current workshop activity, and key statistics in one place.
The profile is divided into three main tabs: Details, Service History, and Statistics.
Details
The Details tab contains the customer's stored information.
Depending on the information available, the customer record can include contact details, business information, address, personal information, tags, and acquisition source.
Because the customer record is reused across the system, information does not need to be entered again every time the customer returns to the workshop.
Service History
Keeping a continuous history of customer visits.
The Service History tab automatically builds a history of the customer's Jobs and workshop visits. Each time a Job Card is created for the customer, the relevant service activity becomes part of their customer history. Over time, this creates a centralized record of the customer's previous and current workshop activity.
Information shown for each Job
- Job number
- Vehicle
- Job status
- Visit or Job date
This allows the workshop to quickly see which vehicles the customer has brought in, what Jobs have been created, and whether a Job is still active or has already been completed.
Portal link
The Portal link provides direct access to the Job Card associated with the relevant service visit, allowing the workshop to quickly open and review the complete Job details.
This means the customer's previous activity does not have to be searched for manually across separate Job Cards – it remains connected to the customer profile.
Statistics
Customer activity at a glance. The Statistics tab provides a summarized view of the customer's activity and financial history with the workshop.
Instead of reviewing individual Jobs one by one, the workshop can quickly understand how frequently the customer visits, how much work has been performed, and the overall financial value of the customer relationship.
First Visit and Last Visit
First Visit shows the date of the customer's first recorded visit to the workshop.
Last Visit shows the customer's most recent recorded visit.
Together, they provide a quick indication of how long the customer has been using the workshop and how recently they returned.
Total Jobs
Shows the total number of Jobs created for the customer, together with information about how many have been completed.
Active Jobs
Shows how many of the customer's Jobs are currently active or in progress.
This makes it easy to see whether the customer currently has ongoing work at the workshop.
Total Invoiced
Shows the total amount invoiced across the customer's Jobs.
This provides a quick overview of the total value of work that has been invoiced to the customer.
Total Paid
Shows the total amount of payments received from the customer.
Together with Total Invoiced, this provides a quick financial overview of the customer's history with the workshop.
Avg. Job Value
Shows the average value of the customer's completed Jobs.
This can help the workshop understand the typical value of work performed for that customer.
Vehicles Serviced
Shows the number of unique vehicles serviced for the customer.
This is particularly useful when one customer has brought multiple vehicles to the workshop over time.
Adding a New Customer
Creating a customer without a Job Card. Customers do not have to be created through a Job Card — the Add Customer button allows a new customer to be added directly to the CRM before any Job is created.
The customer profile can contain several groups of information.
Customer Details
Enter the customer's name or company name.
Contact Information
- Phone
- Telegram username
Business Details
For business customers, additional company information can be recorded:
- Company Code / Registration Number
- VAT Number
Location
- Address
- City
- Country
Personal Information
Additional customer information can be stored when required:
- Date of Birth
- Gender
Tags
One or more Tags can be assigned to the customer.
Tags provide a flexible way for the workshop to classify customers and later find or filter them more easily.
Acquisition Channel
The Acquisition Channel records how the customer found the workshop.
This can be used to distinguish customers coming from sources such as referrals, search engines, social media, walk-ins, insurance companies, corporate fleets, or other channels.
Note
Once the customer is created, their record becomes available in the Customers section and can be reused when creating future Jobs and other customer-related records.
