Payroll

Employee earnings, payments, and outstanding balances

Use Finance → Payroll to calculate employee earnings, review working hours, record payments, and track outstanding balances.

Payroll data is calculated for the selected period according to the compensation type configured for each employee.

Connection with Employees Management

Employee profiles are the foundation

Payroll is directly connected to the employee profiles created under Settings → Employees Management.

Before using Payroll

  • Create an employee profile.
  • Select the employee's compensation type.
  • Enter their commission percentage or fixed monthly salary.
  • Assign the employee to the work they perform in repair jobs.

Compensation Types

Two possible compensation types

Each employee can have one of two compensation types.

Commission

  • The employee earns a specified percentage of the value of the work assigned to them.
  • The commission percentage is configured in the employee's profile under Employees Management.

Fixed Salary

  • The employee receives a fixed monthly salary regardless of the number or value of jobs completed.
  • The fixed monthly salary is also configured in the employee's profile.

A label next to each employee in the payroll table identifies their compensation type, such as Commission or Fixed Salary.

Payroll Summary

Four key figures for the selected period

The top of the page displays four key figures for the selected period.

Total Hours

  • Displays the total number of hours entered in employee work entries during the selected period.
  • The total number of work entries is also shown.

This figure is calculated from the quantities entered in work entries linked to repair jobs. It does not represent hours captured by a separate time-tracking timer.

Total Earned

Displays the total amount earned by employees during the selected period.

This amount can include

  • commission earnings;
  • fixed salaries.

Payments Made

Displays the total amount already paid to employees and recorded in the system during the selected period.

The number of recorded payments is also shown below the total.

Owed to Employees

Displays the outstanding amount that still needs to be paid to employees.

The outstanding balance is calculated by subtracting recorded payments from total earnings:

Amount due = total earned − payments made

The page also shows the number of employees with outstanding payments.

Selecting a Period

Calendar month or custom date range

Payroll data can be viewed by calendar month or for a custom date range.

Monthly period

Select Monthly, then choose the required month.

The page displays working hours, earnings, payments, and outstanding balances for the selected calendar month.

Custom period

Select Custom, then enter the start and end dates.

This option is useful when reviewing a shorter period, a particular week, or another non-standard date range.

The selected period is applied to the summary, employee table, and analytics charts.

Employee Filter

One employee or the full team

By default, the page displays all employees.

To view information for one employee

  • Open the employee selection field.
  • Select the required employee.
  • Review their hours, earnings, payments, and outstanding balance.

To return to the full-team view, select All Employees.

Employee Payroll Table

Results for each employee during the selected period

The Employee Payroll section displays the results for each employee during the selected period.

The table contains the following information

  • Employee – the employee's name and configured compensation type.
  • Hours – the total hours entered in the employee's work entries and the number of related jobs.
  • Earned – the amount calculated according to the employee's compensation settings.
  • Paid – the amount already paid to the employee and recorded in the system.
  • Due – the amount that still needs to be paid to the employee.

The Totals row at the bottom of the table shows the combined hours, earnings, payments, and outstanding balances for all displayed employees.

The number shown next to the Payroll tab indicates how many employees have an outstanding balance for the selected period.

Viewing work entries

To see which work entries were used to calculate an employee's hours and earnings, click the arrow on the right side of their row.

The expanded list displays

  • the date of the work;
  • the work or service name;
  • the related repair job number;
  • the hours entered for the work;
  • the earnings calculated from the work entry.

This information allows you to verify which work items were included in the employee's payroll calculation.

Recording a Payment to an Employee

Two ways to start recording a payment

You can start recording a payment in two ways

  • click Pay in the required employee's row;
  • click Pay Employee at the top of the page.

Use Pay when recording a payment for a specific employee. The main Pay Employee button allows you to select the employee in the payment window.

Payment details

Enter the following information when recording a payment

  • Employee – select the employee receiving the payment. If you opened the window by clicking Pay in a specific employee's row, that employee may be selected automatically.
  • Month – select the month to which the payment should be assigned. This links the recorded payment to the employee's earnings for the corresponding period.
  • Payment Type – choose how the employee was paid: Cash or Transfer. When Cash is selected, the window also displays the available cash balance currently recorded in the system.
  • Amount – enter the amount paid to the employee. You can record the entire amount due or a partial payment. If only part of the balance is paid, the remaining amount continues to appear in the Due column.

After checking the details, click Add Payment.

What happens after the payment is recorded

  • the amount is added to the Paid column;
  • the balance in the Due column is reduced accordingly;
  • the payroll summary at the top of the page is updated.

This function records the payment and its payment type in Wemotics.

Analytics

Working hours and earnings in chart form

Select Analytics to review employee working hours and calculated earnings in chart form.

The analytics view updates according to the selected period and employee filter.

Hours by Employee

The bar chart displays how many working hours are assigned to each employee during the selected period.

This chart helps you compare team workloads and see how work is distributed between employees.

Earnings Distribution

The doughnut chart shows each employee's share of total calculated earnings.

For each employee, it displays

  • their percentage of total earnings;
  • their calculated earnings amount.

The earnings distribution is shown by employee, excluding VAT.

This chart helps you quickly understand how total payroll costs are distributed across the team.

Data Accuracy

What to check before recording payments

The accuracy of payroll calculations depends on the information entered in employee profiles and repair jobs.

Before recording payments, check that

  • each employee has the correct compensation type;
  • the correct commission percentage or fixed salary has been entered;
  • work is assigned to the correct employees;
  • the correct number of hours is entered in each work entry;
  • the correct calculation period is selected;
  • all previous employee payments have been recorded in the system.
