Job Board

Job Card Information & Status Indicators

Each card on the Job Board represents one customer job. The information displayed directly on the card allows the workshop team to see the vehicle, customer, scheduled or recorded arrival time, parts availability, estimate approval status, payment status, and assigned mechanics without opening the Job Card.

Card Information

Job Number

The number displayed in the top-left corner of the card, for example #18, is the unique Job Number automatically assigned to the job by the system.

It can be used to quickly identify and reference a specific job. You can also enter the Job Number in the global search to quickly find and open the corresponding Job Card.

Vehicle License Plate

The label displayed over the vehicle image, for example DEM-011, shows the vehicle's license plate number.

This makes it easier to identify the correct vehicle directly from the Job Board, especially when several vehicles of the same make or model are being handled at the same time.

You can also enter the license plate number in the global search to quickly find and open the corresponding Job Card.

Scheduled or Recorded Arrival Date & Time

In the Scheduled stage, the date and time displayed on the vehicle image indicate when the customer is expected to bring the vehicle to the workshop.

When the vehicle arrives and the Job Card is moved to either Estimates or Approved Work, the system records the vehicle's arrival date and time at the moment the card is moved. This allows the workshop to see when the vehicle was actually received.

Vehicle Make & Model

Next to the vehicle icon, the card displays the vehicle's make and model, for example BMW 118d E87.

This information is taken directly from the vehicle details stored in the Job Card.

Customer Name

The vehicle owner's or customer's first and last name are displayed below the vehicle information.

This allows the workshop team to immediately identify which customer the vehicle belongs to without opening the Job Card.

Assigned Mechanic(s)

The bottom section of the card shows the mechanic assigned to the job.

If one mechanic is responsible for the job, their name is displayed. If multiple mechanics are working on the same job, the card indicates multiple assigned team members.

If no mechanic has been assigned, the card displays “Unassigned”.

The assignment shown here refers to the mechanic or mechanics responsible for the overall job. Individual works within the Job Card may be assigned and managed separately where applicable.

Parts Status Indicators

Parts indicators provide a quick overview of whether the parts required for the repair have already been received, still need to be ordered, or have been ordered and are awaiting delivery.

Need to Order

The “Need to Order” indicator means that one or more parts required for the repair are not available in Inventory and still need to be ordered.

The number displayed next to the indicator shows how many parts still need to be ordered.

Example: “Need to Order 3” means that three required parts still need to be ordered.

Waiting for Parts

The “Waiting for parts” indicator means that the required parts have already been ordered but have not yet been received by the workshop.

The number displayed next to the indicator shows how many ordered parts are still expected to arrive.

Example: “Waiting for parts 1” means that one ordered part has not yet been received.

This indicator is particularly useful in the Approved Work stage because it immediately shows whether the vehicle's repair, or part of the repair, cannot continue until the required parts have been received.

Partially Ready

The “Partially ready” status is displayed when some of the parts required for the job have been received, but one or more other parts are still outstanding.

This status helps mechanics identify vehicles where some of the approved work may already be started.

When a mechanic sees the “Partially ready” status, they should review the Job Card, check the received and outstanding parts, and determine whether some of the work can begin without waiting for the remaining parts.

The “Partially ready” status does not guarantee that work can be started. The mechanic must make the final decision after reviewing the specific work, the parts received, and any dependencies between individual tasks.

Parts Received

The green parts icon with a number shows how many parts required for the job have already been received and are available for the repair.

For example, a green icon displaying 4 means that four parts for the job have already been received.

This icon allows the mechanic to quickly see how many required parts are already available in the workshop.

A Job Card may display both the green Parts Received icon and the “Waiting for parts” indicator at the same time. This means that some of the required parts have already been received while others are still outstanding.

Ready

The “Ready” status is displayed when all required parts that were previously outstanding have been received.

When the Job Card is in Approved Work, this status shows the mechanic that the parts required for the work are available in the workshop and the repair can begin, provided there are no other dependencies preventing the work.

The “Ready” status may be displayed together with the green parts icon and a number. The number indicates the total quantity of parts received and available for the job.

Estimate Approval Status

Awaiting Approval

The “Awaiting approval” indicator means that the estimate contains work or parts that have not yet been approved by the customer.

The number displayed next to the indicator shows how many estimate items are currently awaiting approval.

Approval can be recorded in two ways:

The customer approves the estimate through the Customer Portal.

A workshop administrator records the customer's approval manually in the system.

Once the required estimate items have been approved, the job can continue according to the workshop workflow.

Payment Status

Balance

A red “Balance” amount means that the job has not yet been fully paid and the customer still needs to pay the displayed amount.

Example: “Balance €286.16” means that €286.16 is still due from the customer.

If a partial payment or deposit has already been recorded, the balance represents the remaining unpaid amount rather than the original total value of the job.

Paid

The green “Paid” status means that the job has been fully paid and the customer has no outstanding balance.

This allows the team to see the payment status directly on the Job Board without opening the Payments section of the Job Card.
