Workshop job and vehicle arrival planning

Overview

What the Calendar is for

The Calendar is used to plan customer vehicle arrivals and see how workshop jobs are distributed across different dates and times.

Calendar entries are directly connected to Job Cards. When an arrival date and time are assigned to a job, the vehicle automatically appears in the Calendar.

The Calendar can display scheduled arrivals, vehicles currently in the workshop, jobs in progress, and completed jobs.

Click any Calendar entry to open the corresponding Job Card. This provides direct access to the complete repair information, services, parts, documents, communication, and payments.

Job status filters

Controlling which jobs are displayed

Use the status filters at the top of the Calendar to control which jobs are displayed.

The number next to each status shows how many Calendar entries currently belong to that status. Click a status to show or hide its entries.

Scheduled

Scheduled displays future customer appointments and vehicles expected to arrive at the workshop on a specified date and time.

Scheduled entries are displayed in yellow.

In Workshop

In Workshop displays vehicles that have already physically arrived at the workshop.

This may include vehicles undergoing inspection or diagnosis, waiting for an estimate, awaiting customer approval, waiting for parts, or waiting for work to begin.

In Workshop entries are displayed in blue.

In Progress

In Progress displays vehicles that mechanics are actively working on.

In Progress entries are displayed in green.

Completed

Completed displays jobs for which the workshop work has already been finished.

Use this filter to review completed jobs from an earlier period or hide them while planning upcoming appointments.

Month, week, and day views

Three display modes

The Calendar can be displayed in three different views:

  • Month
  • Week
  • Day

The active view is shown with a dark background.

Month view

Overall monthly workload

Month view provides a general overview of the workshop schedule for an entire month.

Each Calendar cell represents one day and displays the vehicle arrivals and workshop jobs associated with that date.

Each entry may show

  • the arrival time
  • the vehicle make and model
  • a color corresponding to the current job status

If a vehicle remains in the workshop for several days, its Calendar entry may extend across multiple dates. This makes it possible to see both when the vehicle arrived and how long it remains in the workshop.

A number in the upper-right corner of a date indicates how many entries are associated with that day.

Additional entries for one day

If more entries are assigned to a day than can fit inside the Month view cell, the Calendar displays a link such as +7 more.

Click the link to open the complete list of entries for that date.

The top of the list displays

  • the selected day of the week
  • the selected date
  • the total number of arrivals for that day

The entries below show the arrival time, vehicle name, registration number or Job code, and the color corresponding to the current job status.

Click any entry in this list to open the corresponding Job Card.

Calendar entry information

Information panel

Hover over a Calendar entry to display an information panel.

The panel may include

  • Job number
  • vehicle make and model
  • customer name
  • vehicle registration number
  • arrival or workshop period
  • arrival time
  • current job status
  • assigned mechanic

If no mechanic has been assigned, mechanic information may not be displayed.

This information panel provides a quick overview without opening the complete Job Card.

Click the Calendar entry to open and manage the complete job.

Week view

Detailed weekly overview

Week view provides a more detailed overview of one selected week.

The start and end dates of the selected week are shown at the top. Each column represents one day.

The number displayed next to a date indicates how many entries are associated with that day.

In the Shop

The In the Shop section at the top of Week view shows vehicles that are already physically present in the workshop.

These entries make it easy to see which vehicles remain in the workshop during the selected week and identify their current job status.

Scheduled arrivals

Scheduled arrival cards are displayed underneath the In the Shop section in the corresponding day columns.

Each card may display

  • arrival time
  • vehicle make and model
  • customer name
  • Job number
  • vehicle registration number
  • assigned mechanic, when available

The card color corresponds to the current job status.

If there are no customer arrivals scheduled for a particular day, the Calendar displays No scheduled arrivals.

Click any scheduled arrival card or entry in the In the Shop section to open the corresponding Job Card.

Day view

Detailed daily schedule

Day view provides a detailed schedule for one selected day.

A time scale is displayed on the left side. Vehicle arrival cards are positioned according to their scheduled arrival times.

Each card may display

  • arrival time
  • vehicle make and model
  • customer name
  • Job number
  • vehicle registration number

A red horizontal line indicates the current time. This makes it easy to see which appointments should already have started and which arrivals are still scheduled for later in the day.

Click any card in Day view to open the complete Job Card.

Opening a Job Card

Every entry opens a job

Every Calendar entry is connected to a specific Job Card.

A Job Card can be opened by clicking

  • an entry in Month view
  • an entry in the expanded daily list
  • a scheduled arrival card in Week view
  • an entry in the In the Shop section
  • an appointment card in Day view

The opened Job Card provides access to the customer and vehicle information, inspections, services, parts, documents, communication, payments, and the complete job history.

If the vehicle’s arrival date or time is changed in the Job Card, the Calendar is updated accordingly.

Using the Calendar in daily work

When to use each view

  • Month view is most useful for reviewing overall workshop capacity and planning future customer appointments.
  • Week view is most useful for planning the upcoming workload and seeing which vehicles are already in the workshop.
  • Day view is most useful for daily front desk operations, where exact customer arrival times and the order of appointments are important.

Status filters make it possible to review Scheduled, In Workshop, In Progress, and Completed jobs separately.

For example, select only Scheduled to focus on upcoming customer arrivals. Select In Workshop and In Progress to review vehicles currently occupying workshop capacity.

The Calendar brings future appointment planning and the current workshop situation together in one place. Staff can review workload, check the details of a specific vehicle, and open the complete Job Card with a single click.
