Inventory

The Inventory section provides a central view of the workshop's parts stock. It shows parts currently held in stock, allocated to repair jobs, ordered from suppliers, minimum stock levels, stock value, and potential margin.

Inventory is directly connected to the “Works & Parts” section of each Job Card. When adding a part to a repair, Wemotics searches Inventory for matches using the Part Name and OEM Code.

When a matching item is found, its availability, incoming quantity, supplier, and cost are displayed. This allows the workshop to check whether the required part is already available or on order before purchasing another one.

Inventory Summary

The main stock indicators are displayed at the top of the Inventory page.

Total Items

Shows the total number of unique inventory items, or SKUs, across all stock statuses.

Multiple units of the same part are counted as one inventory item rather than as separate items.

Out of Stock

Shows stocked items that have a Min Stock level configured but currently have no units in stock.

These parts may need to be reordered because their absence could delay active repair jobs.

Low Stock

Shows stocked items whose current quantity is below the configured Min Stock level but is not yet zero.

This indicator helps identify parts that are approaching a critical stock level.

On Order

Shows parts that have been ordered from suppliers but have not yet been received at the workshop.

These parts are not yet physically in stock.

Stock Value

Shows the total value of all current inventory at supplier cost prices, excluding VAT.

The value is calculated using the physical On Hand quantity and the average cost per unit.

Potential Margin

Shows the percentage difference between the customer selling price and supplier cost.

The estimated profit available from the current stock is also displayed. These calculations exclude VAT.

Visible Columns

Use the column settings button next to the search field to choose which information is displayed in the Inventory table.

Available columns include:

  • Part
  • OEM Code
  • Brand
  • On Hand
  • Available
  • Reserved
  • Ordered
  • Min Stock
  • Avg Cost
  • Stock Value
  • Client Total Excl VAT
  • Client Total Incl VAT
  • Margin
  • Last Activity

Inventory Table

Each row represents one unique inventory item.

Part

Shows the name or description of the part.

When the item is linked to supplier purchases, a “Purchases” link is displayed below its name. Use this link to open the related purchasing information.

OEM Code

Shows the manufacturer or product code used to identify the part.

The OEM Code is also used to find Inventory matches when a part is added to a Job Card.

Brand

Shows the brand or manufacturer of the part.

On Hand

Shows the quantity physically recorded in Inventory.

Available

Shows the quantity that can still be allocated to repair jobs.

The system calculates this value using the On Hand, Ordered, and Reserved quantities:

Available = On Hand + Ordered − Reserved

Because Available may include parts that have been ordered but not yet delivered, always check the “On Hand” and “Ordered” columns before using the part.

A negative Available value means that more units have been reserved than are currently held or ordered.

Reserved

Shows units allocated to specific repair jobs but not yet used or invoiced.

Reserved parts remain visible in Inventory, but they should not be treated as freely available for other repairs.

Ordered

Shows units ordered from suppliers that have not yet been received at the workshop.

These quantities are included in the “On Order” summary.

Min Stock

Shows the minimum quantity threshold configured for the item.

When the stock quantity falls below this threshold, the item may trigger a Low Stock or Out of Stock warning.

Avg Cost

Shows the weighted average supplier cost per unit, excluding VAT.

Stock Value

Shows the financial value of the physical stock, excluding VAT.

It is calculated by multiplying the On Hand quantity by the average cost per unit.

Client Total Excl VAT

Shows the selling value for the customer based on the configured client price, excluding VAT.

Client Total Incl VAT

Shows the selling value for the customer based on the configured client price, including VAT.

Margin

Shows the percentage difference between the customer selling price and supplier cost.

Last Activity

Shows when an action related to the inventory item was last recorded.

Checking Inventory from a Job Card

Open the Job Card, go to “Works & Parts”, and select “Add New Part”.

Start entering the Part Name or OEM Code. When Wemotics finds matching stock items, the “Inventory Matches” section displays:

  • part information
  • OEM Code
  • supplier
  • available quantity
  • ordered quantity
  • cost

This allows the workshop to review its stock before creating a new supplier order.

Add Part

Important

“Add Part” and the “Add to Inventory” window are not used to register a supplier purchase. This action is intended for recording a part that has been physically transferred into the selected Inventory from another warehouse, branch, or workshop.

For example, when a business operates several workshops and moves a part from one location to another, the receiving workshop can register the transferred quantity using “Add Part”.

This action does not create:

  • a purchase record
  • a supplier order
  • a supplier invoice
  • an amount owed to a supplier

Supplier purchases, orders, deliveries, invoices, and payments are managed under “Finance” → “Purchases”.

How to Record a Transferred Part

  1. 1Open “Inventory” from the top navigation.
  2. 2Select “Add Part”.
  3. 3In the “Add to Inventory” window, enter the Part Name and Quantity.
  4. 4If required, enter the OEM Code, Brand, and Min Stock level.
  5. 5To track margin, enter the optional client price excluding or including VAT and the applicable VAT percentage.
  6. 6Select “Add to Inventory”.

The recorded quantity is added to “On Hand” and becomes part of the physical stock at the receiving workshop.

Client Pricing

The “Client Pricing” section is optional.

It contains:

  • Price (excl. VAT)
  • Price (incl. VAT)
  • VAT %

These values are used to calculate Client Total, Margin, and Potential Margin. They do not register a supplier purchase or create a financial transaction.

Purchases and Inventory

Inventory shows the physical and planned availability of parts. “Finance” → “Purchases” manages the complete supplier purchasing process.

Use Purchases to register:

  • supplier orders
  • parts ordered from suppliers
  • deliveries
  • supplier invoices
  • supplier payments

When parts are received through the Purchases workflow, their stock quantity is updated through the recorded delivery. Do not register the same parts again using “Add Part”.
